Your privacy matters. This policy explains in plain language exactly what data TeeKonect collects, why we collect it, and what control you have over it. By using TeeKonect, you agree to these practices.
1. Who We Are
TeeKonect is a digital business card and professional networking platform that enables individuals and organisations to create, share, and manage digital identity cards. We also provide tools for appointment scheduling, contact management, event attendance tracking, and team collaboration.
When this policy refers to "TeeKonect," "we," "us," or "our," it means the TeeKonect platform and its operators. When we say "you" or "user," we mean anyone who creates an account or interacts with our service.
2. Information We Collect
Information you provide directly
- Account details: your first name, last name, email address, phone number, and password when you register.
- Profile information: job title, company name, bio, social media handles, website links, and profile photo that you add to your digital card.
- Organisation data: if you create or join an organisation account, we collect your organisation's name, logo, industry, and the details of staff members you invite.
- Contacts you scan or import: when you scan another user's QR code, tap an NFC card, or import a VCF (vCard) file, we store the contact information you choose to save.
- Appointments: when you create appointments using voice or text input, we store the title, participants, date, time, location, notes, and any AI-generated meeting recaps you save.
- Communications: messages or support requests you send to us.
Information collected automatically
- Card view analytics: when someone views your shared digital card, we record the view count, geographic region (country/city level), device type, and referral source so you can see who is engaging with your card.
- Usage data: pages and features you access, actions you take (e.g. cards issued, contacts added, appointments scheduled), and timestamps of those actions.
- Device and technical data: IP address, browser or app version, operating system, and session duration. On the mobile app, we also collect your device's push notification token to deliver appointment reminders and account alerts.
- Event check-in data: when you check in to an event using our QR scanner, we record your attendance timestamp and any check-out time.
Information from third-party services
- Google Sign-In / Apple Sign-In: if you choose to register using a social login, we receive your name and email address from that provider.
- Microsoft Outlook integration: if you connect your Outlook account, we access your permission to generate and deploy email signatures on your behalf. We do not read your emails.
- Payment processors: subscription payments are handled by our payment provider. We receive confirmation of payment status but do not store your card number or banking details.
3. How We Use Your Information
- Deliver the service: to create and display your digital card, process contact saves, generate QR codes and NFC payloads, and sync data across your devices.
- AI-powered features: your voice input and typed text are sent to our natural language processing service to parse appointment details or generate meeting recaps. This data is used solely to produce the result returned to you and is not used to train AI models.
- Notifications: to send appointment reminders, follow-up prompts, account security alerts, and (where you have opted in) broadcast messages from your organisation administrator.
- Analytics: to show you card view counts, geographic reach, and engagement trends on your own profile. Aggregate, non-identifiable statistics may be used internally to improve the platform.
- Security: to verify your identity, detect fraudulent or abusive activity, and enforce our Terms of Service.
- Customer support: to respond to your enquiries and troubleshoot issues.
- Legal compliance: to meet our obligations under applicable law.
4. How We Share Your Information
Information you share publicly
Your digital card is accessible to anyone who has its unique link or scans your QR/NFC card. The information visible on the card (name, title, photo, contact details, social links) is what you have chosen to make public. You can update or unpublish your card at any time from your profile settings.
Within your organisation
If you are a member of an organisation account, your profile and card data may be visible to your organisation's administrator. Administrators can issue cards, reassign cards, and view analytics for all staff members within their organisation.
Service providers
We share data with trusted third-party providers who help us operate the platform. These include cloud hosting providers, email delivery services, push notification infrastructure (Firebase), and payment processors. All providers are contractually required to handle your data securely and only for the purposes we specify.
Legal requirements
We may disclose your information if required to do so by law, court order, or governmental authority, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
Business transfers
In the event of a merger, acquisition, or sale of assets, user data may be transferred as part of that transaction. We will notify you before your data is transferred and becomes subject to a different privacy policy.
We do not sell your personal data to third parties. We do not share your information with advertisers.
5. Data Security
We implement industry-standard security measures to protect your data:
- All data is transmitted over HTTPS/TLS encryption.
- Passwords are hashed using bcrypt and never stored in plain text.
- API access is controlled via Sanctum bearer tokens with per-session revocation.
- Biometric credentials stored on your mobile device are held in the device's secure enclave (iOS Keychain / Android Keystore) and never transmitted to our servers.
- Email verification tokens are hashed before storage and expire upon use.
- We regularly review access controls and patch security vulnerabilities promptly.
No method of data transmission or storage is 100% secure. While we take all reasonable precautions, we cannot guarantee absolute security. If you discover a security vulnerability, please contact us immediately at security@teekonect.com.
6. Data Retention
We retain your personal data for as long as your account is active or as needed to provide you with the service. Specifically:
- Account data: retained until you delete your account. Upon deletion, your profile and digital cards are removed within 30 days.
- Card view analytics: retained for 24 months, then aggregated and anonymised.
- Appointment and recap data: retained until you delete the item or close your account.
- Payment records: retained for seven years to meet financial regulatory requirements.
- Support communications: retained for two years after your last interaction.
7. Your Rights and Choices
Depending on your location, you may have the following rights regarding your personal data:
- Access: request a copy of the personal data we hold about you.
- Correction: update or correct inaccurate information via your profile settings, or by contacting us.
- Deletion: request deletion of your account and associated data. Some data may be retained for legal or security purposes.
- Portability: request an export of your data in a machine-readable format.
- Objection: object to certain processing activities, such as direct communications.
- Notification preferences: manage push notification and email communication preferences within the app settings.

8. Cookies and Local Storage
The TeeKonect web platform uses session cookies to keep you logged in, CSRF tokens to protect form submissions, and local storage to preserve your preferences. We do not use advertising or third-party tracking cookies. Analytics on card views are handled server-side and do not rely on browser cookies placed on the viewer's device.
9. Children's Privacy
TeeKonect is not directed at children under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with their data, please contact us and we will delete it promptly.
10. International Data Transfers
TeeKonect operates servers and infrastructure that may process your data in multiple countries. When data is transferred across borders, we ensure appropriate safeguards are in place, including standard contractual clauses or equivalent protections required by applicable law.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and display a notice within the platform at least 14 days before the changes take effect. Continued use of TeeKonect after that date constitutes acceptance of the updated policy. The "Last updated" date at the top of this page reflects the most recent revision.
